Getting a fast, accurate drilling tool rental quote comes down to one thing: giving the rental provider the complete technical and logistical picture up front. Every hour spent chasing missing specifications is an hour off your rig schedule. This guide lists exactly what to send — and why each item matters — so your request can be turned around quickly and correctly the first time.
Why complete information speeds everything up
A rental quote is really a fitness-for-purpose match: the provider confirms which inspected, certified tools in the fleet fit your string, your hole and your schedule, then prices the hire and logistics. Incomplete requests force back-and-forth that delays the quote and risks mobilizing the wrong tool. Sending a complete package lets us confirm availability, reserve the right assets, and price mobilization in a single pass.
The technical specifications
For each tool or string you need, provide the following.
Tubular and tool details
- Tool type — drill pipe, heavy weight drill pipe, drill collars, workstring / tubing, handling tools, fishing tools, pressure control or other downhole tools.
- Outside diameter (OD) — e.g., 5”, 5½”, 6⅝”.
- Nominal weight — e.g., 19.50 lb/ft (reflects wall thickness).
- Grade — e.g., E-75, X-95, G-105, S-135 (see Drill Pipe Grades Explained).
- Connection — the exact thread and type (e.g., NC50, XT39, or a premium proprietary connection). This is critical for compatibility.
- Quantity or footage — number of joints, stands, or total length required.
- Inspection class — the required inspection standard and class (e.g., API RP 7G-2 / DS-1).
Well and application context
- Application — drilling, workover, fishing, well intervention, casing running or well control.
- Hole size and well profile — vertical, directional or horizontal; measured depth and inclination.
- Expected loads — hook load, torque and any high-pressure or high-temperature conditions.
- Special service — sour service (H2S) requirements, cold-climate service, or other material specifications, since these constrain grade and material selection.

The logistics details
Half of a rental is getting the tools to location and back. Include:
- Delivery location — well site, shore base, or receiving yard, with the basin or country.
- On-hire and off-hire dates — start date and expected duration.
- Delivery terms — who arranges transport, customs and any offshore backload.
- Access constraints — remote-location, offshore, or border-crossing considerations that affect lead time.
- Documentation needs — certificates, inspection reports, and any operator or regulatory paperwork required.
For international shipments, early notice matters most — customs clearance, inspection and transport to remote basins take time. Common mistakes that slow a quote down
A few recurring gaps cause the most delay. Avoid them and your quote turns around far faster:
- Naming a size but not a connection. “5-inch drill pipe” could take several different connections. Without the exact thread, we cannot confirm compatibility with your BHA or supply the correct crossover subs.
- Omitting grade and inspection class. Grade sets the tool’s real load capacity, and inspection class sets its fitness for service. Both change price and availability.
- Forgetting the destination country. The same tool ships very differently to a nearby onshore yard versus a remote offshore basin with customs and documentation requirements.
- Leaving out sour-service exposure. H2S changes material selection entirely; discovering it late can mean re-sourcing the whole string.
- Requesting too late. Specialty items, specific connections and remote basins need lead time for inspection, certification and transport.
Understanding what drives the price
Knowing what a quote is built from helps you send the right information:
- Day rate — set by tool type, size, grade and current demand for that item.
- Duration — the on-hire period; longer, defined terms are often more economical per day.
- Mobilization and logistics — transport, customs and any offshore backload to your location.
- Inspection and certification — supplying to your required class with current documentation.
- Special requirements — sour service, HP/HT and specific standards can affect both.
The more precisely you define these inputs, the tighter and more reliable the quote.
